Private forms and respondent login

Restrict a form to your contacts with OTP code verification and link every response to its contact.

A private form only accepts responses from people in your contact directory. Every response is linked to the contact who submitted it.

  1. 1Open the form's settings and go to "Access".
  2. 2Turn on "Private form": only people in your directory will be able to respond.
  3. 3Choose the "Scope": "All contacts in the workspace" or "Only contacts with specific tags".
  4. 4If you use tags, combine include and exclude rules: to qualify by inclusion a contact must have all the tags, and exclusions win. The live preview shows how many contacts match.

Turning on privacy automatically enables "Email + one-time code (OTP)": the respondent types their email, receives a 6-digit code that expires in 10 minutes, and, if their email is within the scope, they get in. Their response is linked to their contact.

On public forms with OTP you can turn on "Save respondents to my contact directory" to capture new contacts automatically. Existing contacts are linked without overwriting their data.

To publish a private form you need at least 1 contact that matches the access rules.
